How to Stay on Schedule Amidst Tariffs and Shipping Delays

If you’re in the built environment right now, sticking to a schedule feels like trying to hit a moving target while blindfolded. Tariffs, shipping delays, and material shortages are the new norm, and unless you’ve got a secret lumber stash buried in the backyard, you’ve probably already felt the pain. 

Staying on schedule isn’t impossible even if it feels like it—it just takes a little more creativity, a lot more communication, and maybe some extra coffee. 

Tips to Stay on Track 

Pre-Planning 

Pre-planning is your best friend right now. Spend more time upfront locking down specs, identifying long-lead items, and getting firm commitments from suppliers. Sure, it’s not as fun or practical as getting the actual work done, but good planning today keeps you from delay-induced meltdowns three months from now. 

Have Multiple Options 

You have to be sure to create multiple sourcing options when possible—don’t rely on one supplier for all of your key materials. If your first choice gets hung up at a port somewhere, you’ll be glad you have backups.  

Order Early 

No, earlier than that. The new rule of thumb should be that if you think you’ll need it next month, order it yesterday. With shipping delays stretching out delivery timelines, your material schedule has to shift way ahead. Treat “just-in-time” deliveries like they’re a myth from a better, simpler time. 

And while you're at it, confirm those lead times weekly. What was “in stock” last Thursday might now be floating in the Pacific Ocean. 

Be Upfront with Communication 

Contractors and crews do their best when they know what’s coming. Keep your team in the loop about possible changes in timelines and priorities. If you're having to reshuffle tasks because materials are delayed, don’t keep it a secret. Nobody likes surprise drywall days. 

The same philosophy goes for clients—keep them informed early and often. Most folks understand that supply chains are a mess, but they’ll appreciate your honesty a lot more than a last-minute excuse. A little transparency can go a long way toward saving your reputation.

Schedules are hard enough without global logistics drama. But with smart planning, clear communication, and a little adaptability, you can still get the job done without pulling your hair out. Or at least not all of it.
